How to follow up with real estate leads without being pushy
Reply to a new property lead within minutes. Then follow up the next day, and every few days for two weeks. Each message should give the buyer something new: a unit that fits, an answer, or a time to visit. If there is still no reply after four or five tries, ask one direct question and stop.
Why most property leads go cold
Most leads are not lost to a better project. They are lost because nobody wrote back. A buyer who enquires about your tower has usually asked about two or three others that week. The seller who stays in touch, politely and with something useful, is the one who gets the site visit.
Follow-up also slips first when your team is busy. A broker with thirty open leads will reply to the ones who wrote today and forget the ones who went quiet on Tuesday. That is where a simple plan helps.
A follow-up plan for the first two weeks
| When | What to send |
|---|---|
| Within 5 minutes | Reply, confirm the project they asked about, and ask one question: budget, area or timeline. |
| Same day | Share two or three units that fit, with prices your team has approved. |
| Day 2 | Offer two times for a site visit. |
| Day 4 | Send something new: a floor plan, a short site video, or the answer to a question they asked. |
| Day 7 | Ask whether their plans have changed, and whether the budget or area still holds. |
| Day 14 | Ask one direct question: should you keep them posted, or have they found something? |
If they reply at any point, stop the plan and talk to them. The plan is for silence, not for buyers who are already in a conversation with you.
What to say in each follow-up
Good follow-ups are short and easy to answer. A few rules:
- One new thing per message. A new unit, a price your team has confirmed, a photo from the site, an answer.
- One easy question. Something they can answer in a word or two, such as a day for the visit.
- Their words, not yours. Use their name, the project they asked about, and the language they wrote in.
- No empty check-ins. “Just following up” gives them nothing to reply to.
Three examples that work:
- “Hi Neha, a 2-bed on the 9th floor of Tower B just opened up, within your budget. Want me to send the floor plan?”
- “Here is a 40-second video of the show flat. Would Saturday at 11 or Sunday at 4 suit you for a visit?”
- “You asked about parking. Each 3-bed comes with two covered spaces. Anything else I can check for you?”
Follow up after a site visit
The visit is where most deals are won or lost, and the follow-up after it matters most. On the same day, thank them and answer anything they asked on site. Send what they wanted to see again: the payment plan, the price sheet for that unit, the possession date. The next day, ask what they thought. If they have seen other projects, ask what they liked about them. That tells you what to offer next. If they liked the unit, suggest a second visit with family.
When to stop
After four or five tries with no reply, send one last direct question, then stop. Buyers who are not ready now may be ready in six months, so move them to a monthly update if they agree. Our guide to real estate lead nurturing covers what to send them. Never write again to anyone who asked you to stop.
On WhatsApp, the rules matter too. On the WhatsApp Business Platform you can only send approved template messages once 24 hours have passed since the buyer last wrote. Our guide to WhatsApp for real estate explains how that works.
Keep track so nothing slips
Give every lead one owner and a next follow-up date. Note the stage (new, qualified, visit booked, visited, negotiating, closed) and what was last sent. A shared sheet works for a small team. A CRM works better once you have more than a few salespeople. What matters is that every lead has a date for the next follow-up.
Where an AI agent helps
Follow-up is steady, repetitive work, which is why it slips. Socavi's Follow-up Agent sends these messages on time, on the rules you set, and only to people who opted in. It shares only units and prices your team has approved, from your own inventory. When a buyer wants to talk price or book a visit, it hands them to your salesperson. You can see all the agents, or read how fast to reply in our guide to speed to lead.
